Who we are. Zetisio is Zetisio Ltd, a company registered in England and Wales, number 16766875, registered office 3rd Floor, 86-90 Paul Street, London, EC2A 4NE. We make software that law firms use to run conveyancing matters.
How to reach us about your data. Email privacy@zetisio.com or write to the address above. We answer within a month.
This notice covers two things: what we do with your data when you use this website, and what we do when you are a user of the Zetisio app as a member of staff at a law firm. If you are a client of a law firmthat uses Zetisio, the firm is responsible for your data and its own privacy notice applies; we process your data only on the firm's instructions, and the section at the end explains what that means.
The website
What we collect. If you use the contact form, we collect your name, your email address and your message. Our hosting provider records the usual server logs (the page requested, the time, your browser type and IP address) for a short period to keep the site running and secure.
Why, and on what basis. To answer your enquiry (our legitimate interest in responding to people who contact us, and, where the enquiry leads to a contract, the steps needed to enter into it). Server logs are kept for security (legitimate interest).
How long. Contact-form messages are kept for 12 months from the last exchange, then deleted. Server logs are kept by our hosting provider for one hour on the current plan and then deleted.
Cookies. The website sets no tracking or advertising cookies.
The Zetisio app, when you are a user at a law firm
What we collect. Your name, your work email address, your role at the firm, your sign-in records (time, success or failure, IP address) and a record of what you do in the app (the audit log: which matters you open, which documents you file, and so on). Your firm chose to give us this data when it set up your account. It is stored and processed in the United Kingdom.
Why, and on what basis. To give you access to the software your firm has bought (performance of our contract with your firm); to keep the service secure and to keep the audit record a regulated firm must have (legitimate interest, and the firm's legal obligations as a regulated business); to tell you about changes to the software (legitimate interest). We do not use your data for marketing.
Who sees it.Your firm's owners and administrators see the audit log for the whole firm; your colleagues see the history of the matters they work on; you see your own actions. Our staff see it only when supporting your firm, and that access is itself recorded.
How long. For as long as your firm uses Zetisio and you are a member, then as the firm's own retention policy requires for the audit record. When your firm leaves Zetisio its data is returned to it and deleted from our systems within the period set out in our agreement with the firm.
When we are a processor: clients of law firms
If you are buying or selling a property through a law firm that uses Zetisio, your firm has put your matter into our software. The firm is the data controller: it decides what is collected and why, and its privacy notice and client care letter explain that. We are the firm's processor: we hold and process your data only to provide the software to the firm, under a written data processing agreement with it, in the United Kingdom, with the security measures that agreement sets out. We do not use your data for anything of our own, we do not sell it, and we delete it when the firm tells us to or when the firm stops using Zetisio.
If you want to exercise your rights over that data (to see it, correct it, or have it deleted), ask your law firm. If you contact us instead, we will tell the firm and help it respond.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to have it corrected, to have it deleted where there is no good reason for us to keep it, to restrict or object to how we use it, and to receive it in a portable form. To exercise any of these, email privacy@zetisio.com. We may ask you to confirm who you are.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so that we can put it right.
Changes to this notice
We will change this notice when what we do changes. The date at the top says when it was last changed, and we will tell firms that use Zetisio about any change that affects them.
